Getting Started

LockDown enables businesses to protect and control digital information – from confidential documents to private communication – that is shared among employees, with external partners and other companies. The LockDown solution is built upon our patented encryption and key handling technologies, all working behind the scenes in an easy to use phone and computer app.

Company Owners, Admins and Managers may invite people to join their Company account. Each position may invite someone to join as an equal, or a lower role.

To invite someone to your Company account, select the “People” icon and then select the “person/plus icon”. Choose the desired role, and then type in or select the person’s phone number or LockDown ID (if they already have one).

The invited person will get a text message with a link to the iOS or Android App Store. From here, they can follow the simple on-boarding steps.

If you invite someone to join your company account, you may see that it says “pending” next to their name. There are a few reasons why an invitation may be pending.

 

  1.  The person has not downloaded the app or finished registering.
  2. They may be registered on the LockDown app, but have not opened their app since you invited them to join the company.
  3. An Owner, Admin or Manager needs to confirm them from the “People” tab

Yes, in order to maintain complete privacy, security and control, all parties need the LockDown mobile app to communicate. The Windows Computer App is optional and is available in the Microsoft Store.

In Workspaces, confidently share sensitive information among groups of people. Workspace Moderators control all contributions and can add/remove people to the conversation at any time. Moderators control the conversation, where members are simply Contributors.

A Direct Message is a side bar conversation with someone in your Company.

Don’t worry, your files and messages are not compromised! In order to open the LockDown app, your 4 digit pin is required. After 5 failed attempts, the system will lock. The content you have shared in LockDown is not stored locally on the phone, so it cannot be accessed.

Your company’s LockDown Administrator can easily get you back on the system with the Company Backup.

Scan-In allows you to authenticate (sign in) to the LockDown app on your computer. To Scan-In to the Windows App, first you must make sure you have the LockDown app on your phone. Then, select “Scan-In” from the bottom of the app. Point the camera on your phone to the QR code on the LockDown Windows app and you’ll automatically be signed in.

The Scan-In function is also used to recover your account.

Company Positions

Owners have complete visibility over everything that is happening in their LockDown Company account and may perform all actions (such as creating Workspaces, contributing content and controlling access and permissions) but are not required to be hands-on in the system.

Your may have one or multiple Owners.

The primary function of Admin(s) is to add/remove people as Managers, Members and Guests to the company account. Admins may create, moderate and contribute to Workspaces, as well as handle billing and account administration.

You may have one or multiple Admins.

Managers can add/remove people as Members and Guests to the company account. They may also create, moderate, and contribute to Workspaces.

You may have as many Managers as needed.

Members and guests may contribute to Workspaces. They have no ability to add people to the company account or to individual Workspaces.

Members should be assigned to people in your company.

Guests should be assign to people outside of your company.

 

Workspace Roles

Company Owners are automatically included in every Workspace and have full privileges, which includes the ability to create/delete/archive Workspaces, contribute/delete/archive content, and control access and permissions.

Admins, Managers, Members and Guests can be assigned the role of Moderator or Contributor within each Workspace.

Workspace FAQ

In Workspaces, confidently share sensitive information among groups of people. Each Workspace has default Permissions that the Moderator may set, based on individual roles.

Workspace Moderators may add/remove additional Moderators, Contributors or Custom Contributors at any time.

NOTE: Company Owners are automatically in every Workspace.

First, go to the “People” icon to add anyone you want to communicate with to your Company account. You will assign them a Company Role at this time.

Then, to Create a Workspace:

From your iPhone: Select the Workspaces tab and then select the + button in the top right corner of your screen.

From your Android: Select the Workspaces tab and then select the floating green + button in the bottom right corner of your screen.

From your Windows Computer: Select the Workspaces tab (briefcase icon) and then select the floating green + button.

NOTE: Once you are in the Workspace, the fly-out panel will give you options such as “Manage people”.

Select the paperclip icon and choose a file, photo, or take a photo. You can send the attachment with or without a message.

Company Owners may delete any post in any Workspace. Workspace Moderators may delete posts in their Workspaces.

Press and hold on the message you would like to delete. You will be asked if you would like to delete the post from all devices, and then to confirm your choice.

Select the clock icon and choose an expiration time before sending your message.

NOTE: Expired messages become “archived”.

Company Owners, Admins and Managers may add or remove people from a Workspace. A Workspace Moderator may also add or remove people.

When you add someone to a Workspace, they can see all contents of the Workspace (including content that was there before they were added).

When you remove someone from a Workspace, their contributions to the Workspace stay, but they no longer have any access or visibility to the Workspace.

NOTE: before adding people to a Workspace, they must be added to your Company first.

Workspace Permissions FAQ

Company Owners and Workspace Moderators may set default settings per Workspace by selecting the ||| icon in the top right hand corner of the Workspace, then selecting “Settings”.

Hidden membership prohibits the person from knowing who else is in the Workspace.

A Read-Only Workspace prohibits users from posting anything in the Workspace, however; they may read the contents of the Workspace.

The prohibit export setting controls whether or not the person may export or download the files in the Workspace.

The prohibit printing setting does not allow for people to print the documents they’re viewing in LockDown.

Note: Watermarks are digital only and do not appear on a printed copy.

The prohibit copy & paste function does not allow for people to copy content & paste that information in a separate document/area.

The Watermark recipient name/phone setting will place a watermark of the person who is viewing the file all over the document. This deters against users using other devices to take photos of their screens.

The Watermark Custom Message setting is designed for a traditional watermark of your choosing.

Yes – the if Workspace settings are changed, the new settings will apply to previous posts.

By showing Hidden Posts, you will be able to see a placeholder that there was a message at one time, before it expired or was deleted. You will not be able to see the contents of the post.

Archiving a Workspace puts that Workspace into a state that cannot be accessed by anyone except the Company Owner and Workspace Moderator. No new posts may be made to an archived Workspace.

A Workspace may be un-archived at anytime.

Company Owners and Admins may delete Workspaces, as well as the Workspace Moderator.

All contents of the Workspace will be permanently deleted and the Workspace will no longer appear.

Direct Message FAQ

From your iPhone: Start in the “Direct Messages” tab and then select the “compose” button in the top right hand corner of the screen.

From your Android: Start in the “Direct Messages” tab and then select the “compose button which is the floating green button in the bottom right corner of your screen.

From your Windows Computer: Start in the “Direct Messages” tab (icon with the speech bubbles) and then select the “compose” button which is the green floating button on the right hand side of the panel.

Select the paperclip icon and choose a file, photo, or take a photo. You can send the attachment with or without a message.

Only Company Owners may delete Direct Messages.

Direct Message Members may archive their own post.

The Owner of the company has visibility to all Direct Messages, as well as the people included in the Direct Message.

Account Settings

Your LockDown ID is your identity/handle in the LockDown App. Your LockDown ID is unique and enables you to communicate with others without sharing your phone number.

When you add additional mobile phone numbers (you have to verify them with a sent sms code like when you register) – people can find your LockDown ID by that phone number.

Note: you may not use the device associated with that phone number for LockDown. The additional phone number is simply an additional method to find your LockDown ID and start communicating with you.

If you remember your current pin:

  1. Go to your LockDown phone app.
  2. Select “Settings” (gear icon)
  3. Select “Edit account settings”
  4. Select “Change PIN”

If you do not remember your current pin:

  1. Use your LockDown phone app and Scan the Backup Recovery Page that you printed and stored in a safe place.
  2. Follow the steps shown on your phone.

User Guides

    1. On either your phone app or computer app, select Profile
    2. Select Account Backup
    3. Click Print
    4. Save the backup QR code somewhere very safe – it’s not a bad idea to print multiple copies.

Your account is private. No one else, including LockDown, can access your account. This  means it’s very important you backup your account, in case you forget your 4 digit pin or get a new phone.

If you remember your current pin:

  1. Go to your LockDown phone app.
  2. Select Profile
  3. Select Pin
  4. Enter your current pin and then your new pin

If you do not remember your current pin:

  1. Use your LockDown phone app and Scan the Backup Recovery Page that you printed and stored in a safe place.

NOTE: LockDown is not currently available for Mac or iPad.
