Getting Started

LockDown enables businesses to protect and control digital information – from confidential documents to private communication – that is shared among employees, with external partners and other companies. The LockDown solution is built upon our patented encryption and key handling technologies, all working behind the scenes in an easy to use phone and computer app.

 

LockDown protects data no matter where it travels or what device is used.  No more depending on the security or business practices of the person or business with whom you have shared sensitive data. Patented encryption secures your most important documents, messages and files. Leading-edge key handling technology ensures secure (password-less) access and unprecedented control of digital information.

Only those you decide to share with can see your messages and files. LockDown can never see your messages and files.

Share safely. Never lose digital control.

On a Smartphone: Click the settings icon in the top left corner from your home screen and switch the Account Modes as desired.

On a Computer: Click the context box (it will say “Personal” or a business’ name) in the top left corner from your home screen and switch the Account Modes as desired.

Owners, Admins and Managers may invite people to join their Company Account.

For a comprehensive overview of the roles within a Company Account, see below.

 

First, ensure that you are in the desired Company Account (and not in your Personal account or another Company Account).

Select the “People” icon in the top right corner of the app. Once you’re on the “People” screen, select the “+ People” icon in the top right corner of the app.

Select the “Role” you will assign to the person/people you are adding.

Lastly, select the person/people from your contact list, or enter their phone number(s), or enter their LockDownID. The final step is to enter the desired screen name for each person added.

Company Owners, Admins and Managers may invite people to join their Company account. Each position may invite someone to join as an equal, or a lower role.

To invite someone to your Company account, select the “People” icon and then select the “person/plus icon”. Choose the desired role, and then type in or select the person’s phone number or LockDown ID (if they already have one).

The invited person will get a text message with a link to the iOS or Android App Store. From here, they can follow the simple on-boarding steps.

If a person does not have a LockDown account when they are added to a Company account, their invitation is pending until they get the LockDown phone app and register.

NOTE: You may need to work with your IT department to get LockDown for Desktop.

To provide the highest level of security, LockDown does not have usernames and passwords for authentication.

Instead, you smartphone LockDown app is used to authenticate your identity to the LockDown Desktop app.

To “Scan-In” to the LockDown Desktop app, simply select  the “Scan-In” icon from the lower right corner of your LockDown smartphone app. Your camera will be activated and you will see a blue square.

Align the blue square with the QR code displayed on the LockDown Desktop app. LockDown’s proprietary authentication technology will handle the rest.

Yes, in order to maintain complete privacy, security and control, all parties need the LockDown smartphone app. The LockDown Desktop app is optional.

No. Your messages and files are encrypted and safely stored in the cloud – so no one, not even LockDown, can see them – and are never stored on phones or computers. LockDown’s PIN security feature ensures that even if your phone is lost or stolen, your LockDown messages and files cannot be accessed. Once you get a new phone, you can recover your account and start using LockDown again. The old phone never compromised your stuff, and you lost nothing.

Don’t worry, your files and messages are not compromised! Your files and messages were not stored on your phone – instead, they were encrypted and stored in the cloud. You can recover all of your messages and files when you reconstitute your account on a new phone.

With respect to your lost or stolen phone, your LockDown account is protected by your 4 digit PIN. Even if someone breaks into your phone, they will not know your PIN and, therefore, will not be able to open the LockDown app.

If someone tries to guess your PIN, after 5 failed PIN entry attempts, your account will lock until a company Administrator reactivates it.

LockDown does not store any messages or files locally on any device. If your computer is lost or stolen, your information is not at risk because it safely resides encrypted in the cloud.

 

Download the LockDown app, and select “Recover Account” at the beginning of the registration process. Scan your Recovery code to reconstitute your account on your new smartphone.

If you did not print a Recovery code, you will need to create a new account. An Owner or Admin will need to reconstitute your account within the company.

Company Roles

Owners have complete visibility over everything that is happening in their Company Account and may perform all actions, but are not required to be hands-on in the system.

Owners have visibility into all company Vaults.

Owners may add people to the Company Account, create Vaults, Direct Message others, contribute content, control Vault access and control Vault file permissions.

Company Accounts have one or more Owners.

The primary function of Admins is to add/remove people to the Company Account and handle billing and account administration.

Admins may add people to the Company Account, create Vaults, Direct Message others, contribute content, control Vault access and control Vault file permissions.

Company Accounts can have multiple Admins.

Managers may add people to the Company Account, create Vaults, Direct Message others, contribute content, control Vault access and control Vault file permissions.

Company Accounts can have multiple Managers.

Members/Guests may contribute to Vaults. They have no ability to add people to the Company Account or to Vaults.

“Members” are people in your company.

“Guests” are people outside of your company.

Company Accounts can have multiple Members and/or Guests.

Vaults

A Vault is a secure, private place to discuss a project or topic with complete control.

Company Owners, Admins and Managers may create Vaults. The creator of the Vault becomes the Vault Moderator.

Company Owners and Vault Moderators may add/remove people to a Vault. In order to add someone to a Vault, they must first be added to the Company Account.

In order to add someone to a Vault, that person must be in the LockDown Company Account.

They can be added by clicking the “people” icon in the top right hand corner of the app. (See above for more information about company roles).

Vault Roles

A Vault Moderator may add and remove people to the Vault, and also set the Vault permissions. Moderators can message, share files, delete anyone’s content and archive anyone’s content.

A Vault Contributor may message and share files in the Vault, but they may not delete any of the content, nor may the control file permissions.

A Custom Role is assigned to someone who needs unique permission sets for that Vault, different than a Moderator or Contributor.

Vault Permissions

Each Vault has a set of file permissions that apply to the respective roles in that Vault.

Each of the four Vault roles (Contributors, Moderators, Custom and Owners) may have separate permissions.

Company Owners and Vault Moderators may change Vault permissions for each

role.

Anytime! Changes are updated in real time.

By default, LockDown does not allow for files to be exported. If you turn this off, someone may take the file out of the Vault which means it is no longer encrypted, it will not have any watermarks, it can be forwarded, printed or edited.

By default, LockDown watermarks the recipient’s name and phone number on each file. This deters against creative capture (i.e. someone using another device to take a photo of their screen).

If you would like to add a watermark to your files or documents, you may type in a custom watermark, such as “confidential” or “top secret”.

By default, LockDown does not allow people to print files.

By default, LockDown does not allow people to use their mouse to highlight text and copy/paste.

Direct Messages

A direct message is a place to have a 1-on-1 or group chat conversation. LockDown keeps company information secure by only allowing those in the LockDown Company Account to use Direct Messages.

By default, files sent in a DM will be watermarked with the name and phone number of the person viewing the document or photo. Additionally, files may not be printed or exported.

The settings in a DM are always set to the default. If you would like to communicate in a space where you can control settings, create a Vault.

Only the Owner of a company account can delete direct messages.

Yes, you may archive your own direct messages.

To uphold the confidentiality of a conversation, you may not add or remove people from a DM. If you would like to fluidly add/remove people, use a Vault instead.

Direct Message FAQ

From your iPhone: Start in the “Direct Messages” tab and then select the “compose” button in the top right hand corner of the screen.

From your Android: Start in the “Direct Messages” tab and then select the “compose button which is the floating green button in the bottom right corner of your screen.

From your Windows Computer: Start in the “Direct Messages” tab (icon with the speech bubbles) and then select the “compose” button which is the green floating button on the right hand side of the panel.

Select the paperclip icon and choose a file, photo, or take a photo. You can send the attachment with or without a message.

Only Company Owners may delete Direct Messages.

Direct Message Members may archive their own post.

The Owner of the company has visibility to all Direct Messages, as well as the people included in the Direct Message.

Account Settings

Your LockDown ID is your identity/handle in the LockDown App. Your LockDown ID is unique and enables you to communicate with others without sharing your phone number.

When you add additional mobile phone numbers (you have to verify them with a sent sms code like when you register) – people can find your LockDown ID by that phone number.

Note: you may not use the device associated with that phone number for LockDown. The additional phone number is simply an additional method to find your LockDown ID and start communicating with you.

If you remember your current pin:

  1. Go to your LockDown phone app.
  2. Select “Settings” (gear icon)
  3. Select “Edit account settings”
  4. Select “Change PIN”

If you do not remember your current pin:

  1. Use your LockDown phone app and Scan the Backup Recovery Page that you printed and stored in a safe place.
  2. Follow the steps shown on your phone.
    1. On either your phone app or computer app, select Profile
    2. Select Account Backup
    3. Click Print
    4. Save the backup QR code somewhere very safe – it’s not a bad idea to print multiple copies.

Your account is private. No one else, including LockDown, can access your account.  It’s very important you backup your account, in case you forget your 4 digit pin or get a new phone.
